PTA Job Descriptions
Executive Board
President Coordinates all work for the association, leads all meetings, is a liaison with the principal, represents Local PTA as Council delegate, meets regularly with officers and chairs, member of Executive Board, signs checks. Serves in all areas as needed. Responsible for: All officers and committees.

1st VP Programs Coordinates all programs of the association and community focus programs, meets regularly with committee chairs, member of Executive Board. Responsible for: Hospitality, Breakfast with Buddies, Environmental, SAGE, Assemblies.

2nd VP Membership & Community Supervises the building of an informed and participating membership, maintains membership list, encourages participation in membership, chairs annual Lifetime Membership Awards Committee, member of Executive Board. Responsible for: Community Outreach, Senior Banquet, Family Fun Nights, Grandparents Week, and Meet the Teacher.

3rd VP Volunteers Coordinates recruitment of volunteers for all PTA-sponsored programs and events, coordinates recognition for Board Member of the Month and Volunteer of the Month, meets regularly with committee chairs, member of Executive Board. Responsible for: All volunteers, Field Day, Library, Watch DOG, Grade Level PTA Events.

4th VP Ways & Means Coordinates all fundraising events, meets regularly with committee chairs, member of Executive Board. Responsible for: Book Fair, Fundraisers, School Supplies Sale, Silent Auction, Spirit Nights, Spirit Wear, Yearbook.

5th VP Communications & Technology Coordinates all public relations channels. Member of the Executive Board. Responsible for: Membership Toolkit Website, Social Media, Newsletter (submitting PTA news for Hunt Herald, and PTA Newsletter).

Treasurer Responsible for all funds of the association, managing books and records, budgets, deposits, invoices and receipts for audit, prepares tax returns, member of Executive Board.
|
Secretary Records the minutes of all meetings of the association and Executive Board, records attendance at all meetings, responsible for correspondence, maintains copies of all reports, notices, statements and newsletters, member of Executive Board.
|
Parliamentarian Advises on questions of parliamentary procedure, responsible for maintaining the association's Bylaws and Standing Rules, chairs Bylaws Review Committee and updates annually as needed, Member of Executive board, appointed by President, does not vote.

Council Delegate Attend all meetings of the Plano Council of PTA's and report on these meetings at the monthly executive board meetings. Reports to President.

Legislative Report back school/youth state legislature going on in the Texas House to the Hunt community. Reports to President. |
Chairs & Coordinators
Assemblies Chair Responsible for coordinating with school for assemblies.

Book Fair Chair Secure a book company plan and promote a fundraising book fair in the spring; and coordinate with librarian disbursement of profits. Reports to 4th VP Ways and Means.

Breakfast with Buddies Chair Responsible for planning, organizing, getting supplies, and promoting the Breakfast with Buddies event. Reports to 1st VP Programs.
|
Community Outreach Chair Responsible for enlisting volunteers to provide donated services including meals to needy families. Reports to 2nd VP Membership/Community.
|
Environmental Chair (Garden/Recycling) Promotes and participates in environmental awareness programs through the school and community; and are responsible for the grounds and building beautification programs. Reports to 1st VP Programs.
|
Family Fun Night Chair Responsible for organizing committees to conduct events such as skate night, Hunt family picnic, spaghetti dinner, etc. Reports to 2nd VP Membership/Community.
|
Field Day Chair Responsible for coordinating and implementing field day. Reports to 3rd VP Volunteers.
|
Grade-Level Coordinators Assists in securing lead room parents for each class. Assists lead room parents, teachers and principal in helping plan and execute parties; and secures itemized statement of expenditures for each grade level, to be turned into the treasurer before the last executive committee meeting in May. Serves as an admin on their grade level Facebook page. Reports to 3rd VP Volunteers.

Grandparents Week Chair Responsible for scheduling, coordinating, planning, and executing Grandparents Week where grandparents are invited to a special lunch with their student. Reports to 2nd VP Membership/Community.

Graphic Designer Responsible for creating graphics for PTA social media pages and newsletters, flyers for promoting events. Reports to 5th VP Communications/Technology.

Hospitality Chair Coordinates the back-to-school breakfast for teachers, holiday luncheon, teacher appreciation week, and all other hospitality activities. Assists in coordinating the regular meetings and be responsible for any other food related events. Responsible for purchasing, storing, and maintaining inventory of PTA hospitality items including paper products. Reports to the 1st VP Programs.

Kindergarten Dramatic Play Coordinator Coordinates with Kindergarten team leader and 3 additional volunteers to set up Dramatic Play Center in Kindergarten Big Centers. Reports to Kindergarten Coordinator and 3rd VP Volunteers.

Kindergarten Fun Friday Coordinator Coordinates with Kindergarten lead teacher on Craft and Snack for the last Friday of every month for Kindergarten. Recruits 3-4 additional volunteers to help execute Fun Friday. Reports to Kindergarten Coordinator and 3rd VP Volunteers.

Library Chair Work with the school librarian to schedule volunteers to work in the library. Reports to 3rd VP Volunteers.
|
Meet the Teacher Chair Responsible for working with the school staff members to prepare for the meet the teacher event. Responsible for coordinating with other vice presidents and committee chairs such as membership, programs, school supplies, spirit wear, etc. to see who needs a table for the event. Reports to 3rd VP Volunteers.

Newsletter Chair Responsible for compiling all monthly and quarterly newsletter information from the various committee chairs and sending the newsletter to PTA members. Sends PTA news to be published to Hunt Herald newsletter. Reports to 5th VP Communications & Technology.

SAGE Chair Plans and coordinates educational meetings for promoting awareness of learning differences and special

School Supplies Chair Secures a school supply company to sell prepackaged school supplies to the Hunt parents based on the supplies requested by each grade level; preorders the supplies for distribution prior to the first day of school; and coordinates with school staff use of profits from school supplies sale to provide needed supplies later in the year. Reports to 4th VP Ways and Means.

Senior Banquet Coordinator Responsible for working with Hunt staff and coordinating a yearly banquet for seniors who graduated from Hunt. Responsible for advertising to current seniors and obtaining gifts for seniors (if applicable). Reports to 2nd VP Membership/Community.
|
Silent Auction Chair Responsible for soliciting businesses and families for donations, organizing, running and distributing items donated for the silent auction. This may include, but not limited to, appointing a company to run the silent auction event upon approval of the board. Reports to 4th VP Ways and Means.

Social Media Chair Responsible for creating graphics and flyers for social media to be published to Facebook grade level pages. Coordinates with Newsletter Chair. Reports to 5th VP Communications & Technology.

Spirit Night Chair Responsible for arranging and scheduling Hunt spirit nights each month with participating restaurants and businesses. Reports to 4th VP Ways and Means.

Spirit Wear Chair Secures a company to design and produce spirit wear and products for sale to the parents, students and staff of Hunt Elementary. Reports to 4th VP Ways and Means.

Spring Fundraiser Chair Responsible for planning and organizing the spring fundraising event, such as the check writing campaign, fun run, etc. Reports to the 4th VP Ways and Means.

Watch D.O.G.S. Chair Maintains Watch D.O.G.S bulletin board and manages the D.O.G.S. volunteers. Orders WATCH DOG Resources and maintain inventory. Reports to 3rd VP Volunteers.

Website Admin Responsible for the updating the membership toolkit website. Coordinates with Newsletter Chair and Social media Chair. Reports to 5th VP Communications & Technology.
|
Yearbook Chair Responsible for compiling all necessary pictures and information for the Hunt Elementary yearbook. Responsible for arranging for the financing, printing, and distribution of the yearbook. Responsible for contacting the student counselor to provide yearbooks to students in need and two copies for the library and one for the PTA. Reports to 4th VP Ways and Means.

WAYS TO BE INVOLVED & VOLUNTEERWe need volunteers throughout the school year to help with one-time and ongoing special projects, events, programs, in the classroom, etc.

Watch DOGS WatchDOGS are fathers, grandfathers, uncles, and other father-figures who volunteer for at least one day each year at an official WATCH D.O.G.S.® school. During the day, WatchDOGS may read and work on flash cards with students, play at recess, eat lunch with students, watch the school entrances and hallways, assist with traffic flow and any other assigned activities where they actively engage with not only their own students, but other students as well. Many school principals have reported that the mere presence of a WatchDOG dramatically reduces reports of bullying. Read more here.
Book Fair Volunteer Work 1 or more shifts during the week of book fair selling books, helping younger grade levels with selections, assist with set up and tear down. Events occur in the Fall and Spring.
Classroom Volunteer Attend classroom parties to assist with activities, games, and snacks. May donate requested party supply items, chaperone field trips, etc.
Family Fun Night Volunteer Assist with Fall Festival. Duties may include event set up, working a booth, and tear down.
Field Day Volunteer Work a half day or full day shift for Field Day in May. Assist with activity stations, set up, and tear down.
Library Volunteer Assist librarian as needed, help with self-check out station during classroom visits, and assist with shelving books. Contact our Library Coordinator for details.
